Job Summary

The Development Associate (DA) is an integral member of the Advancement Team at Community Music Center of Boston (CMCB). This individual works very closely with the Chief Advancement Officer (CAO) to implement all administrative activities related to the annual fund, which raises $350,000 annually. Primary responsibilities for the position include donor database management (Raiser’s Edge) and donor communications. The DA will also collaborate with other departments and the Board of Directors to produce special events, and assist in providing overall administrative support for the Advancement department.

Status: Full-Time, some weekend/evening hours are required, exempt - benefits eligible

Start Date: January  2020

Reports to: Chief Advancement Officer (CAO)

Works Closely With: Marketing & Communications Coordinator, Manager of Institutional Giving, Executive Assistant, Accountant

Responsibilities

Development:

  • Process donations and generate acknowledgement letters in a timely manner

  • Draft donor communications, including recognition letters, solicitation, engagement and other correspondence (including newsletters, brochures, annual report, website, social media) 

  • Coordinate annual fund mailings, including mail merges 

  • Administratively support CAO with all donor stewardship and cultivation activities (including phone calls, direct mail, thank you notes, emails, and other outreach)

  • Conduct research and make recommendations including researching existing constituents to identify new donor prospects and researching fundraising best practices to recommend new strategies

  • Support CAO in strategic thinking to maintain and increase membership in Giving Societies and in cultivation of new donors 

  • Assist CAO with recruiting Board and Corporation member participation in donor stewardship

  • Develop and sustain excellent working relationships at all levels of the organization to generate interest and participation in stewardship initiatives
     

Administrative:

  • Responsible for accurate record management, report generation, and maintaining accurate and up-to-date donor lists for website and annual report

  • Track and maintain related Development expenses including stationery and office supplies; Coordinate supply orders and in-kind instrument donation drop offs with front office staff

  • Take meeting notes and prepare minutes as necessary

 

Volunteers & Special Events

  • Coordinate volunteers, working closely with program and operations staff and faculty to identify areas of need, recruiting volunteers, coordinating training and associated logistics, and stewardship of volunteer relationships. 

  • Support the planning and execution of CMCB fundraising events with a focus on individual donor engagement (includes cultivation/solicitation events for members of CMCB Board, Corporation and Giving Societies, annual gala and music festival).

Job Qualifications & Requirements

Essential

  • College degree and/or 1-2 years professional work experience

  • Ability to function within a diverse, inclusive, and culturally-responsive environment

  • Ability to work in a temporary hybrid remote/in-person work environment 

  • Energetic, enthusiastic, and self-motivated learner interested in working for a growing organization

  • Strong written and verbal communication skills; strong command of the English language

  • Team player who enjoys both working independently and collaboratively with others

  • Ability to work on multiple projects, adjust quickly to shifting priorities, and exercise good judgment in order to successfully meet established goals and objectives, including the ability to take initiative and anticipate potential project complications or needs before they arise.

  • Very high attention to detail and strong proofreading skills

  • Ability to maintain confidentiality regarding sensitive information

  • Strong computer skills (including Raiser’s Edge or other donor software, Microsoft Office including Excel, Google Suite/Drive).

Preferred

  • 1-2 years of development/fundraising experience and/or customer service experience

  • Knowledge and experience with Raiser’s Edge or equivalent donor CRMs

  • Interest in arts or music

  • Written and oral fluency in a second language

Physical Demands

While performing the duties of this job, the employee is frequently required to stand; walk; sit; and climb stairs. The employee must occasionally lift and/or move up to 25 pounds.
